Subject Important Information on Conference/AGM
Building the Future: Children First
This years' theme for the BCCCPAC Spring Conference - Building the Future: Children First - happening April 16 at the Coast Plaza Hotel & Suites in Vancouver, reflects the commitment of PACs and DPACs to the students of BC.
Parents from around the province are encouraged to come together to network, explore and enrich their parent leadership skills before attending our AGM on April 17 -18. In an effort to be both fiscally and environmentally responsible as well as make it easier for our membership to share conference and AGM information with their membership in a more timely and accessible manner, we are very pleased to inform you that the following information is available on the BCCPAC website <http://www.bccpac.bc.ca/> :
1) Registration Form - Are you or someone you know attending the 2010 Conference and/or AGM? Your registration form can be faxed, emailed, or delivered to the office via Canada Post or in person, with cheque or credit card payment. Early Bird registration deadline is Saturday, April 3. Please remember, for those attending the AGM and planning to vote or speak on behalf of a member a completed 'Proxy Form' is required and may be submitted to the office on or before Saturday, April 3, 2010 for advance processing or it may be brought with you to the AGM. 2) Travel Information/Subsidy/Forms - Funding is available for every qualifying DPAC to provide assistance with the travel costs for at least one delegate (and those districts with more than 15 member PACs are eligible for an additional delegate). For anyone travelling by plane your flight confirmation must be provided to the office by Wednesday, March 31 to qualify for subsidy. Delegates travelling from the airport or bus depot to the hotel will find the skytrain a convenient way to get downtown. Please inform the office of your travel arrangements and we will do our best to arrange convenient group pick up times from skytrain stations. Please note that taxi`s will not be reimbursed. 4) Hotel Information and Rates - This year the 2010 Conference and AGM will be held at the Coast Plaza Hotel in Vancouver. Room rates, location map and other information relating to the hotel can be found here <http://www.bccpac.bc.ca/index/event_calendar/2010AGM/coastplaza.aspx> . This year we would like to help out those of you who are interested in sharing a room with another delegate. If this is something that you would be interested in please send an email to <mailto:events@bccpac.bc.ca> events@bccpac.bc.ca or contact the BCCPAC office and we will see what we can do to make this happen. Of course, anyone who has booked a room and would be interested in finding a roommate to share with should also contact us.
5) Proxy Form - VERY IMPORTANT; so important we are saying it again! Those attending the AGM, and planning to vote or speak on behalf of a member must provide a completed 'Proxy Form'. Subject IMPORTANT NEWS ON COMMUNITY GAMING GRANTS FOR 2010-2011
BCCPAC has just received the following good news, which we are pleased to share with all our members regarding Gaming Grants for the 2010/2011 year. The press release package is attached to this email and includes the following information:
Parent Advisory Councils will receive $20 per student, a $10 increase from 2009-2010. District Parent Advisory Councils will be allocated $2,500 each, up from $1,250 last year.

Dear BCCPAC Members;
It has been a three-year journey that brings us to this draft Constitution and Bylaws for BCCPAC. Countless volunteer hours have been put in to ensure this document will carry BCCPAC into the future.
Our journey is nearing completion....
The next step is to receive additional feedback from our membership and then finalize the document which will be presented to the membership for acceptance by vote at our AGM. Any change to the Constitution and Bylaws is done by special resolution and requires at least a 75% vote in favour of each motion in order to be accepted.
Please note that no modifications to any of the wording of a special resolution are permitted on the floor of the AGM as per the Society Act. To ensure that we can move forward with a new and improved document that is acceptable to our Membership, it is important that we get as much feedback and reaction to this very important document while there is still time to make revisions to the final wording. Our goal is to ensure that the Membership has had an opportunity to view the draft, been provided an opportunity for feedback and discussion, and is comfortable with these proposed changes, so that the C&B document can be formally adopted at the AGM in April 2010.

We will compile a Frequently Asked Questions (FAQ) section to help answer some questions you may have, which will be updated regularly. If you have additional questions or need clarity on a section, please email GAIC@bccpac.bc.ca.
Further to the notice of this special resolution to amend the Constitution and Bylaws that was given to members in the Notice of AGM, we will continue to receive and welcome your feedback into the final document and wording of the special resolution(s) and would appreciate receipt of same on or before Friday, March 26, 2010. We will then be providing notice of the official special resolution(s) 14 days prior to the AGM as per the requirements of the Society Act and encourage you to bring your PAC/DPAC’s voice to the AGM for the final vote.

Appointment To Board
The BCCPAC Board of Directors is pleased to announce the appointment of Dana Arthurs to the position of Secretary on the BCCPAC Board. Dana Arthurs is a parent in the Cowichan Valley School District and has served on a number of PAC Executives and is currently the DPAC Chair. She has attended numerous conferences and AGMs and we look forward to sharing her wealth of knowledge from experiences on district, school and provincial committees along with her passion for helping students and parents.
Watch Your email – For Special Resolutions
You will soon be receiving an email which will contain the special resolutions that will be presented for your consideration at the AGM. One of those resolutions will be the revised and updated BCCPAC Constitution & Bylaws. The Governance Audit Implementation Committee has worked tirelessly to present this document taking in to consideration the recommendations of the audit report along with the knowledge, perspective and feedback received from parents around the province.
Mark Your Calendars – April 16 – 18, 2010 - BCCPAC Spring Conference & AGM 2010
This year the AGM will be taking place on Saturday and Sunday, April 17 & 18 in Vancouver. On Friday, April 16 will be a conference of workshops for parents. Full details will be emailed to all members before the end of the month and will also be available on the BCCPAC website. If you have any ideas or suggestions regarding either of these events please do not hesitate to share them by emailing info@bccpac.bc.ca

Bev Hosker Motivational Award
This award is to honour a parent who is newly involved in their PAC/DPAC and has taken on a leadership role. Deadline for nominations is February 28, 2010
BCCPAC Educational Award
This award is open to a Grade 12 student from a member PAC/DPAC. Deadline for applications is February 28, 2010.
George Matthews Award
This award is to honour a parent who demonstrates leadership, influence, dedication and the importance of the parent role in education to the entire educational community. Deadline for nominations is February 28, 2010.
BCCPAC Life Membership Award
This award honours an individual who has provided service to BCCPAC and whose contribution is considered to have been innovative and of significant lasting importance for furthering inclusion and support of parents in BC's public education system and the improvement of education for children in BC. Deadline for nominations is February 28, 2010.

Reminder - the BCCPAC Board is currently seeking nominations for the appointment of the Board positions of Secretary and Treasurer. A communication was sent to all members last week.
